Independent buyer's guide

Choosing an accredited service provider

ClearDesk provides independent selection and implementation support and does not receive provider commission. This guide is written so you can assess the options confidently.

We do not name providers here — on purpose

The accredited list is published by the UAE Ministry of Finance and it changes as more providers are approved. Any list we published would be out of date within weeks, and an out-of-date list is worse than none. Check the Ministry of Finance's own published list and treat accreditation as a fact to be verified, not a claim to be believed.

What an accredited service provider actually does

  • Receives the invoice data from your accounting system
  • Validates it against the PINT AE specification
  • Transmits it to your customer's provider on the network
  • Reports the tax data to the Federal Tax Authority
  • Gives you back a record of what was sent, accepted or rejected

What they generally do not do is fix your data. If your customer master file is a mess, the provider will faithfully reject your invoices. That work sits with you, or with someone like us.

The criteria that actually matter for a business under AED 50m

Accreditation, verifiedConfirm it on the Ministry of Finance list yourself. Do not accept a logo on a website as evidence.
Integration with your systemAsk specifically about your accounting software by name and version. "We integrate with everything" is not an answer.
Implementation experienceHow many UAE businesses of your size have they taken live, and can they describe a rollout that went wrong and what they did?
Whose platform is itDo they own the technology or resell someone else's? Reselling is not disqualifying, but it changes who you escalate to at 4pm on a deadline.
Support hours in your time zoneGulf business hours, Sunday-to-Thursday awareness for regional customers, and a named escalation path.
Security and data handlingWhere is your invoice data stored, who can see it, what certifications do they hold, and what happens to it if you leave?
Pricing modelPer document, per month, or per user? Model your actual volume, including credit notes, and ask what happens in a peak month.
Service levels in writingUptime, transmission time, response time to a rejection, and what happens when the network has an outage.
Onboarding timeFrom signature to go-live, realistically. Then add your own data cleanup time on top.
ExitNotice period, cost of leaving, and whether you can export your transmitted invoice history in a usable format.

Fifteen questions to send to every shortlisted provider

Send the same list to three providers and compare the answers side by side. The differences in how they answer will tell you more than the answers themselves.

  1. Please confirm your accreditation and the date it was granted.
  2. Have you taken live a UAE business of our size and sector? Describe one.
  3. Do you support our accounting system, by name and version, and how?
  4. Is the integration built by you, by us, or by a third party — and who pays?
  5. What is your total first-year cost for our invoice volume, all in?
  6. What happens to the price if our volume doubles?
  7. Are credit notes, debit notes and self-billed invoices charged the same way?
  8. How long from contract signature to go-live?
  9. What does your test environment let us do before go-live?
  10. When a document is rejected, how are we told, and how fast?
  11. What are your published service levels, and what is the remedy if you miss them?
  12. Where is our data stored and who has access to it?
  13. What support hours do you offer, in which time zone, in which language?
  14. What is the notice period and what does it cost to leave?
  15. Can we export our full transmitted invoice history if we do?

What to check in the contract

  • Auto-renewal. Many contracts renew for a full term unless cancelled inside a short window. Diarise the window the day you sign.
  • Volume bands. Check what happens the month you exceed your band, not the average.
  • Liability for rejected documents. Understand who is responsible when a document fails because of a mapping the provider built.
  • Data on exit. Get the export commitment in the contract, not in an email.

Where we fit

We help clients run this process: define the requirement, shortlist, send the question set, compare the answers, and then do the data and integration work so the provider you pick has something clean to work with. We are independent of every provider and we do not take a referral fee for the choice you make.
